these are the meetings minutes for WOTA fall 2010 any changes that you think we need just let me know ! this is all up to the people, and the people that showed decided made these decisions at the meeting, if you want to add or change anything let me know and I will send it to all that I can and we will all decide on it from there. thanks JimV Pres. WOTA MEETING MINUTES 10/17/2010
The meeting was called to order by President, Jim Voigtlander. Those in attendance were: Jim Voigtlander, John Archer, Ken Koch, Doreen Hamburg, Kevin Huber, Ralph Littlefield, Mike Mauritz, Noel Smage, Jim Paley, Mike French and Allyn Vandewalle.
 
The previous meetings minutes were read and approved.
The treasurer’s report was read and approved. The current checkbook balance is $ 5356.01 and savings balance is $ 5.00.
There was no old business to discuss.
 
No elected positions are vacant or due for election.
 
Since Teresa Doll hasn’t been able to make any events since the first Elkhorn event, it was suggested that we elect a new secretary. Since she hasn’t officially resigned and she was elected to a 2 year term, no action was taken. It was suggested that someone volunteer to help Doreen at signup for the next season at events that Teresa is unable to attend.
 
Trophy designs and ideas were discussed for 2011. Different designs suggested included: medallions, cut out wall plaques, and mugs/glass steins. It was suggested that the traditional stand up trophies be given out to the novice class and youth riders and other trophies be given to the other classes. Jim V. will investigate further and report back with prices. A generic trophy was also discussed with an accompanying ribbon designating 1st or 2nd place, etc.
It was discussed and voted upon to have trophies for both days when we host a 2-day event. The vote was unanimous.
Jim V. reported that insurance for each event will be raised from $175 to $242.
It was discussed whether or not to adjust the WOTA membership fee. It was decided to leave the membership fee at $5 per person. We will also keep the 25.00 day fee the same for this next year.
It was discussed to have more joint events with NITRO. Ralph reported that a lot of the Illinois riders are reluctant to come to WI events. The reason is unknown. It was discussed and voted to continue to include the Polo, IL event as a WOTA event. The vote was unanimous.
We have some extra money in the checkbook and discussion was held about what to do with these funds. Ken Koch suggested we use some money to buy more port-a-potties to leave at various sites to eliminate transporting the one we own so often. This will be investigated further.
Discounted rider fees were discussed. It was suggested that we offer a $5.00 discount at 2-day events if the rider is competing both days. No decision was made on this suggestion.
It was also suggested to offer a family discount of $5 per person per household. This is only for a 2day event, and this will be paid for on the SAT of the 2day event. The first person would pay full price of $25 and all other household members would get a $5 discount and pay $20 each. This was voted on and passed unanimously.
Ideas were brought up on how to increase club membership. Advertising by riding in parades was suggested as well as offering discounts to members who bring a friend to ride. Other ideas included advertising at fairs, at customer appreciation events at dealerships and a bigger ad in the Cycle magazine and promoting in local newspapers. This was tabled for more discussion.

Worker Points were discussed and it was voted on to change from awarding 20 points per event to 5 points per day worked per event with a maximum available of 20 points per year. A worker could help at 4 events to accumulate a total of 20 points. It was suggested that the Trials Master should get 30 points. This idea was rejected by the group. The vote was unanimous.
The current system of using arrows instead of pie plates to mark the lines within each section will be kept. We will use a perimeter tape and arrows only and eliminate the blue and red tapes used previously and we will still use a yellow to use to split lines or to section off some of the champ and expert stuff from the rest of the classes. Also, when youth lines differ from novice lines (yellow arrows) will be used to designate the change.
Jim V. suggested we ask Trials Masters to setup only 8 sections that all classes could ride. The positives would be less work to setup and less confusion as to where the sections are located, plus dads could ride with their kids. The negatives are that not all sections can be made to be competitive for all classes but we need to work on this more and try to keep things together some what. Using only 8 sections can create bunching up of riders but we need to keep things together more and not scater the sections all over so it is hard and confusing to riders to find where they are all at. It was suggested that we do a better job of marking the loop to lessen confusion(please). It was voted and decided to appoint someone before each event to ride the loop and add any markers necessary to make following the loop and finding sections easier. This task would award 5 worker points and this would be by someone other than the Trialsmaster of that event. The vote was unanimous.
Jim V. suggested we give the land owners a thanksgiving dinner as appreciation for allowing us to use their land for our events. It was voted and decided to set an approximate value of $50 per land owner and a gift card would be purchased for them at a local grocery store and mailed to them with a card of thanks. The vote was unanimous.
Jim V. suggested that the club pay for Doreen’s fuel to travel to events outside of Baraboo. It was voted and agreed upon unanimously.
The schedule was discussed and the following tentative schedule set:
April 10 – Mauston
May 8 – Black River Falls
May 21 & 22 – Wauzeka
June 25 & 26 – Polo, IL
July 17 – Mountain Rd, Baraboo
August 20 & 21 – Dickeyville & Platteville
Sept. 10 & 11 – Mauston
It was determined to use the best 9 scores of 11 events, allowing 2 throw-a-way scores. Also when awarding points for scores, take out non-members and move WOTA members up in rank accordingly.
We will try to keep our classes the same as IL or close to it. When hosting events for MN riders, we will tell them which lines to ride that would be comparable to their classes.
Ralph Littlefield stated that in IL, District 17 allows for a one day card for those who want to ride just one day and avoid the cost of an annual card fee. Jim V. will inquire if WI offers such a card.
There was no further new business to discuss.
Jim V. adjourned the meeting.

But it is very sandy there, good drainage, from what I've read on the Forum.

Yes it was very sandy there and almost all of the bluff face es south so with any sun the snow should be gone unless it snows the day before the event Shocked.Then you call it a snow Trial Roll Eyes...Ralph

  Hey  we just  picked  a   day   in April now that   we know the 1st Natc  isnt until the last weekend  of  April  we caN   move it a week or 2 later  no  problem   unless  niotro  and umta  have   grabbed those  dates .
