WOTA MEETING MINUTES OF 3-19-2011
The meeting was called to order on March 19, 2011 by President Jim Voigtlander at 11:00 AM at Farm Kitchen Restaurant in Baraboo, WI.  Those in attendance were:  Jim Voigtlander, Doreen Hamburg, Mike Mauritz, Sean Mauritz, Jim Paley, Ken Koch and Mike Mullarky.
Minutes of the previous meeting were read and approved.
The treasurer’s report was read and approved.  Previous balance was $5077.16 as of 11-30-2010.  There was no income to report.  Expenses included gifts to land owners, Sanction fees for the year, event insurance for the year, Annual Incorporation fee, AMA fees and advertising for the year, totaling $3710.45.  Current checkbook balance is $1366.71. Motion to approve by Ken Koch and seconded by Jim Paley.  Vote was unanimous to accept.
Old business:
Discussion of the Rider Points system and how to award them.  Trials points are awarded differently than Motocross or Enduro Points.  Jim V. said he thought Trials points followed the Off-road points system.  He will confirm this with the AMA and District 16.
Mike Mullarky made a motion and Jim Paley seconded it, that we develop our point system to match that of Illinois and Minnesota trials riders, pending approval by the AMA and District 16.  The vote was unanimous to accept it.
It was also discussed that when awarding points for District 16 competition, to take out Non-District 16 riders who may have placed, then move up District 16 riders accordingly to fill those empty spots and then assign points based on the new standings.   This was motioned by Jim Paley and seconded by Mike Mauritz.  The vote was unanimous in favor.
“Actual” event results will be posted on the WOTA web site, including all riders regardless of their AMA district membership.
Discussion of arrows and tapes designating competition sections and lines.  Yellow arrows will designate youth lines when they differ from Novice lines.  We will attempt to eliminate the red and blue tape and try to rely soley on arrows. 
It was motioned by Mike Mauritz and seconded by Jim Paley to purchase more arrows.  This was passed by unanimous vote.  More arrows will be purchased so they can be kept at the various events from one event to the next.  Pie plates will only be used to identify each section.
Trophies were discussed and several ideas were introduced to cut the cost of trophies and eliminate having extra unused trophies.  It was motioned by Doreen Hamburg and seconded by Jim Paley that we leave trophy designs up to the discretion of the President as long as each trophy is kept under $10 in value.  This was carried by unanimous vote.

New Business:
Mention was made that some clubs offer a one day ride card from the District.  Jim V. will check with District 16 and see if they offer such a card.
We are getting our event insurance from Jones Brown this year rather than the AMA.  This will save the club $700 for the season.
The resignation of Teresa Doll as secretary was announced.  We will be seeking nominations for the secretary position.  Elections will be held this fall.  Doreen has agreed to take over temporary responsibility of the secretary duties until then.  Volunteers at each event to help with signup will be appreciated.
T-Shirts will be ordered again this year.  We need design suggestions and ideas.  Orders and payments for  hooded sweatshirts will be taken at the Mauston event.
Jim V. mentioned a Risk Management video he was required to view by the AMA.  He recommends all officers view the video to help enforce the rules at sign up.  In keeping the regulations, someone will be assigned to watch the gate and have all riders and spectators sign the waiver as they arrive at the event.
AMA offers a season waiver for families with children who compete.  Members with children will be encouraged to get this for the 2011 season.
Jim V. needs from Jim Paley, the legal name of the land owners where the Dickeyville/Platteville events will be held, the address of the event sights and the address of the land owners.
Jim V. will follow up with the AMA for insurance waiver forms and rider forms for the first event.
Jim V. requested a sign be made posting our event fees and the discount for members of the same household/family.  Also treasurer’s signup sheet will be changed to reflect this fee change.
Announcement was made that the Mauston event will be held April 10.
At the beginning of each event, a loop rider will be appointed to ride the loop and made sure all sections are clearly marked.  Also that the path to each section is clearly marked and easy to follow.
Motion was made by Mike Mauritz and seconded by Jim Paley to adjourn.  Vote was unanimous to adjourn. 
Meeting was adjourned at 12:30 PM.
